Front Desk Coordinator

Position Description/Overview:

Create a positive, friendly first impression to those who contact the church by phone, text, website or in person and provide administrative support to the pastoral staff and ministry leaders.


Hours: 24 hours/week

Classification: Part-Time

Status: Hourly – Non-Exempt

Campus: Sandusky


Essential Job Functions:

  • Maintain a warm, friendly, welcoming environment for guests and office visitors.

  • Respond with a positive, friendly attitude to incoming calls, text messages and emails.

  • Direct calls to appropriate persons in a timely fashion, guide callers to voicemail/email.

  • Answer general questions about The Chapel, ministries, and events.

  • Champion and maintain churchwide online calendar.

  • Coordinate child dedication and baptism sign ups, assist with follow up calls/emails, create and mail out certificates and communicate with all campuses.

  • Constantly update personal and ministry information in our church database system.

  • Create “How To” instructions on specific tasks/responsibilities to document the process step-by-step.

  • Distribute incoming mail appropriately. Organize/stock workroom and paper areas.

  • Order office, janitor and pantry supplies according to budget.

  • Assist with office equipment upkeep including calls for repair/technical support when needed.

  • Coordinate assistance request forms to pastor/finance team and communicate decision to applicant.

  • Communicate information to staff/team leads and alert meal/care teams in a timely manner regarding hospitalized attenders, deaths, births, and other important events (mail cards or order flowers as requested).

  • Recruit, schedule and communicate with staff and volunteers at the Front Desk.

  • Communicate information about groups, classes, and events with the Communication Arts Team.

  • Distribute mid-week prayer requests (via website/email) to prayer team; alert pastor of urgent/crisis requests.

  • Other duties as assigned or as needed in support of the Chapel’s Mission, Vision, Values.

  • Attendance at Chapel all staff meetings (2nd & 4th Tuesday) required.
